How can I keep my emails out of SPAM filters?


Follow these best practices to improve deliverability and make sure your messages land in the inbox.

Spam filters are always scanning for red flags, but a few simple habits can make a big difference. Here's what to keep in mind when sending emails through Agent Legend.

Use a recognizable sender name. Always include your full name in the "From" field so recipients and email providers know exactly who the message is coming from.

Set up email authentication (SPF, DKIM, and DMARC). These are DNS records that prove to inbox providers that your emails are actually coming from you. SPF (Sender Policy Framework) acts as an authorized sender list, telling the world which servers are allowed to send emails from your domain. DKIM adds a digital signature, and DMARC ties it all together with a policy for how providers should handle messages that fail those checks. If you're unsure whether these are configured correctly, check with whoever manages your domain (e.g., GoDaddy).

Go easy on links. Spam filters are suspicious of links, especially in unsolicited emails. Avoid adding calendar links, websites, or external resources in your first message, save those for follow-ups once there's already been some engagement.

Don't attach files. Attachments can trigger filters and appear suspicious. If you need to share a document, host it somewhere like Google Drive and include the link in a later message after the conversation has started.

Keep your formatting clean. Too many exclamation marks, excessive capitalization, or overly promotional language can hurt your spam score.  Write like a person, not a flyer.

Keep your list clean. Sending to old, invalid, or unengaged addresses hurts your sender reputation over time. Set up automated bounce processing to remove hard bounces immediately, and monitor your bounce rates closely, anything above 5% indicates list quality problems that need attention.

Send consistently. Suddenly sending a large volume of emails after weeks of silence raises red flags with inbox providers. Establish consistent sending schedules and volumes that match your normal business patterns.
